Updates to the Labyrinthe Website.

There are a number of major changes to the Labyrinthe website which are due to be released in the next few days (along with a few minor enhancements too). I’ve included details on these changes below. This marks the end of the Labyrinthe Website development project, which I hope has/will bring significant benefits both to the management and to club members. We may continue to make small improvements to the system, but the major development aims have now been met.

The release of these enhancements may require an hour or so of downtime for the site at some point over the coming week.


• Digital Credits
After the launch of the website enhancements Labyrinthe will no longer issue paper based credits. They will instead be automatically awarded by the booking system and added to your account. We will also retain the ability to add/remove credit awards on an ad-hoc basis directly onto your account. If you do not have an active Labyrinthe account then it will not be possible to award credits (so please ensure you have registered fully to level two prior to earning any credits!)
You will be able to view your current credits balance by going to the Members Area and clicking on “My Credits”. You will see your current credit balance and the last 10 “transactions” that involved credits.
If you have any queries on credits being awarded then we can investigate missing credits within 30 days of the date you were due to receive the credits only.

You will also now be able to pay for adventures via the website using a mixture of cash and credits. When you select to pay for an adventure you will be shown your current credit balance and a dropdown menu against each event will allow you to use credits up to the maximum allowable for that event. Cash minimums for certain adventures will sometimes mean that the maximum allowable number of credits can include a fraction of a credit, which as per current procedure will be rounded to the full credit amount. It will also be possible to use credits to pay for no-show fees.

If you currently have paper credits issued by Labyrinthe UK Ltd then you can continue to use these as normal. You can also arrange for these to be converted into digital credits by bringing them to the desk and handing them in. It is NOT compulsory to convert your credits, and there is no time-limit to convert them. Paper credits issued by Labyrinthe UK Ltd will remain valid. Paper credits issued by previous management of then Labyrinthe system will remain invalid and cannot be converted to digital credits. Labyrithe UK Ltd will not be issuing any more paper credits after the launch of these enhancements.

It will still be possible to pay for adventures using credits at the desk. Desk staff will have access to a report of credits currently held and be able to mark the use of credits at the desk. This report will not for any reason be publically available. Use of credits by spouses/partners will only be possible at the desk

• Online HoTE balances and turn purchases

It will now be possible for you to check your current Heroes turn balances at any time. You can do this by going to the Members Area and selecting “My Heroes Balance”. This page will display your current balance and the last 10 “transactions” involving Heroes turns (both purchases and turns processed).
This balance will be updated automatically for turns purchased via the website, and within 7 working days for turns purchased by other methods. Turns processed will continue to be updated on a batch process upon receipt of an invoice from TwentyThree.
Queries relating to Heroes transactions can only be accepted if received within 30 calendar days of the relevant turn batch or payment.

You will also be able to purchase turns online, to a maximum of 25 turns in any one transaction. It will still be possible to purchase Heroes Turns at the desk or by calling the booking line. It will no longer be possible to purchase turns via direct bank transfer – if you currently pay for turns via bank transfer then please cancel the standing order now.

It will only be possible to process turn purchases for persons fully registered on the Labyrinthe website. We will not be maintaining any offline databases for people not registered on the website. Please ensure that if you play HoTE then you have fully registered on the Labyrinthe Website which will create your account for HoTE turns and payments. Any payments received without a registered account will be lost, so please ensure you have an active account prior to making any additional payments.

If your HoTE account is negative (i.e. you have received turns without having paid for them) then the My Heroes Balance will be the first page displayed upon logging in. Sustained periods of negative balance may result in a suspension of the account until the balance is cleared. This will be at the discretion of Labyrithe management.

It will take a few days after the release of the enhancements to update the balance on the new database. Your current balance will be added over a period of days following the release and will appear as a “Transfer of Balance” entry.

• Other Enhancements

Booked referees and event organisers will now be able to view the names of people booked as players and monsters for events they are reffing or organising.

Booked referees will now be able to book briefing areas and playing areas online. This can be done via the event diary and selecting the “Book as Staff or Book Adventure Areas” link for that event day. Referees will be able to book multiple setting rooms and one playing area per section. If a referee would like to book multiple playing areas then this can be done by e-mailing the booking line and requesting admin to book the additional area. We would encourage referees to use this online feature as we cannot guarantee that e-mailed area requests will be processed in time to book the areas you would like.

A cut-off time has been introduced for paying for adventures online. If will no longer be possible to pay online after 18:00 the Friday prior to the event. This is to ensure that paperwork printed for the weekend is up to date. It will still be possible to pay for adventures at the desk.

A block has been introduced to prevent referees, desk staff, senior referees and armourers being able to book off of their position after 20:00 7 calendar days prior to that event day. If you need to book off of a staff position less than a week before the day then you will need to contact the booking line (either by phone or e-mail) to advise us personally.

A filter has been added to the Event Diary page to enable club members to be able to filter the listing by adventure threshold

There are also a host of improvements to the administration site which will allow Labyrinthe Management access to much improved information.


• Referee Points and Monster Points
Neither referee points or monster points will be added to online functionality due to cost considerations.
Monster points will continue to be awareded and tracked by the existing membership cards
In order to facilitate the decommissioning of the existing access database we will also shortly be issuing referee cards. Referee points will be issued and tracked on these cards in a very similar way to monster points.

Just to confirm, the new enhancements to the website are now live.

Heroes balances will be updated onto the site over the next few days - balances should be correct by Monday morning

If people have paper credits that they would like to convert to digital credits then please feel free to bring them to the desk anytime from this weekend onwards.

Hope it s ok to post here and that this isnt an annoucenment thread.

With regards to the E-Creds...at present 'couples' can pay for each other's dungeons with paper credits. Will that practice continue or will couples have to split their credits in some way at point of issue? Or some other method?

Nice.

Sadly Worldpay kept rejecting my card when I tried to buy some heroes turns. Not sure if its me or a glitch.

Still all looks good.

Just need to electrolyse my credits now smile.gif

I've just used worldpay to pay for my turns, and processed ok in worldpay. Give it another try over the weekend at the desk if you like and we can track it through

Much improved and the online area booking is a great idea.

Is there likely to be a change that allows you to jump from the "My bookings" page into the individual dungeons - e.g. if you're a ref to see who is booked - or is that just too horrendously complicated?
