The Labyrinthe Club Evacuation Procedure.
A guide for what to do and how to do it.

It has become more of a formal requirement to have an evacuation procedure in place for the club. I would ask all Club members to read the first bit below. Referees, Desk staff and Armourey staff have more of a role to play during possible evacuation, they a copied below for you to read. Referees you can find a copy of this on the back of De-brief sheets. Desk and Armourers a copy for you is on the back of your daily task lists.

Reasons for evacuation: Fire, Medical Emergency, Minor Injury, Smoke, Gas Smell, Chalk Fall (anything larger than a bastard sword to be reported immediately), Reported and required evacuation from Tour side.

As players or crew if you are instructed by the dungeon referee or other member of the evacuation team to evacuate the caves. Follow the directions given, exit with your dungeon as led by the referee on the organised route in a calm and organised manner. Do not run, or stop to pick up personal belongings. Do not re-enter the caves or divert from the route unless told to do so.

The desk staff will be running a head count in the car park area, do not leave the area until they have confirmed you have been recorded as returned to surface.

If you come across any of the reasons for evacuation as stated above report it to your referee immediately.

Referee evacuation procedure.

Reasons for evacuation: Fire, Medical Emergency, Minor Injury, Smoke, Gas Smell, Chalk Fall (anything larger than a bastard sword to be reported immediately), Reported and required evacuation from Tour side.

Minor Injury: After initial assessment, person suffering from minor injury should be taken to the Desk area by at least one person, probably the assistant referee. Desk staff, can then administer first aid, or contact a first aider.

Medical Emergency: After initial assessment, casualty if it is possible without causing further trauma should be taken to the Desk area by at least one person, ideally the assistant referee. Desk staff, can then administer first aid, contact a first aider, and call for emergency services. If it would cause further injury, or if you are unsure in anyway do not move the casualty. Instead send contact via the assistant referee to the desk staff who will manage the situation.

If as a referee you discover a Fire, Smoke, Gas Smell, or Chalk Fall (anything larger than a bastard sword). Call time out loudly and audibly until the game has ceased. Assemble Players and Crew in one room, make sure everyone is accounted for. Lead your group to the surface via a safe route. This may be via the main corridor, The Tunnel, one of three metal escape doors to tour side. If your route takes you via the desk, report to desk staff what has happened. If your route takes you directly to the surface, do not re-enter the caves, contact the duty manager within the tour building who will contact the desk staff. Keep your group together, and once the desk staff are on the surface, report to them to register everyone as evacuated.

If as a referee you are advised to evacuate the caves by armourer, CMT or tour side representative, you will be given your evacuation route. Call time out loudly and audibly until the game has ceased. Assemble Players and Crew in one room, make sure everyone is accounted for. Lead your group to the surface via the route given. Once on the surface, keep your group together, and once the desk staff are on the surface, report to them to register everyone as evacuated.

Evacuation can also be signalled via the lighting system going off and on for 3 seconds five times. In this Instance, Call time out loudly and audibly until the game has ceased. Assemble Players and Crew in one room, make sure everyone is accounted for. Lead your group to the surface via a safe route. It is intended that this route be out of your area to the main corridor and towards the desk, and then to the surface. If re-acting to the lights going on/off, this is the route you should take. Once on the surface, keep your group together, and once the desk staff are on the surface, report to them to register everyone as evacuated.

Remember if evacuating via metal emergency door, turn left, keep the wall on your left, don’t go back through a metal door. Keep the wall on your left.


Desk Staff evacuation procedure.

As Desk staff you have a vital role to play in a possible evacuation scenario, always re-read this and be familiar with it.

Reasons for evacuation: Fire, Medical Emergency, Minor Injury, Smoke, Gas Smell, Chalk Fall (anything larger than a bastard sword to be reported immediately), Reported and required evacuation from Tour side.

Minor Injury: If someone is brought to you with a minor injury and you are not first aid trained, contact a 1st aider immediately. Do not leave the person on their own, they will have been brought out by someone, have them sit with the casualty while you go for a first aider.

Medical Emergency: If someone is brought to you with a medical emergency, or a medical emergency reported to you call emergency services immediately. Additioanlly call tour side duty manager to assist with direction of emergency services at the surface. If there is not a 1st aider already helping with the situation, and you are not a 1st aider, send for one.

If a referee or the duty manager tour side reports to you a Fire, Smoke, Gas Smell, or Chalk Fall (anything larger than a bastard sword), you will need to evacuate the caves.
1st – Call the tour side duty manager and inform them of what has happened and you are evacuating.
2nd – Make a plan. Which areas are in use, which of the escape routes is best served for each area? WRITE IT DOWN. WRITE IT DOWN AGAIN. This may be via the main corridor, The Tunnel, one of three metal escape doors to tour side.
3rd – Give one copy of the escape plan to the armoury staff, they are responsible for contacting each area referee.
4th – Evacuate yourself, take your copy of the plan with you, and the days booking sheets.
5th – As you evacuate call out clearly in the toilets and changing areas incase someone is in those areas.
6th – If your evacuation plan involves everyone using the main corridor, as you pass the electrical cupboard, using the main switch turn all the lights off, then on for 3 seconds 5 times. Leave the lights on and operational and continue to the surface.
7th – Once on the surface, co-ordinate with evacuating referees and armourers, tick each person who has made it to the surface off the booking sheets to make sure everyone is accounted for.

Liase with club management team, and tour side duty management, and emergency services as required


Armourer evacuation procedure.

As an armourer you have a vital role to play in a possible evacuation scenario, always re-read this and be familiar with it.

Golden rule: DO NOT put yourself in danger to implement any of the below.

Reasons for evacuation: Fire, Medical Emergency, Minor Injury, Smoke, Gas Smell, Chalk Fall (anything larger than a bastard sword to be reported immediately), Reported and required evacuation from Tour side.

If the desk staff, CMT, or tour side duty manager, request you to evacuate the caves this is what you need to do.

1st – Receive the evacuation order, which will come with instructions of what areas games are taking place in, who the referee is, and what their evacuation route is.
2nd – Pick up your tourch.
3rd – Head into the playing areas, using the main corridor were possible. (this is in case you meet any of them on the way.)
4th – Spend 5 minutes in each given area locating the referee, and report to them they need to evacuate the caves. Give them their route and any additional information. Don’t spend more than 5 minutes, they may have already received the message and evacuated.
5th – When you find the last group, stay with them, and evacuate with them using their route.
6th – Once on the surface report to desk staff.

Laisse with desk staff, club management team, and tour side duty management, and emergency services as required

Following on from this, it is our intention at some point in the coming 4 months, to run a Practice evacuation.

I know this will potentially delay dungeons for a little while, and break flow and emersion ect. ect. I can only apologise for that, but it is important that we run a drill once each year.

I hope everyone can be understanding
